Two rhythms sustain a PKM system over time: the daily note and the weekly review. Without them, even a well-designed system gradually stops being used. With them, the system compounds – each week slightly more useful than the last.

The Daily Note

A daily note is a timestamped entry that serves as the day's capture point and scratchpad. It is not a journal – though it can include reflections. It is a low-friction place to put anything that comes up during the day before it gets processed.

What goes in a daily note:

  • Ideas that occur during meetings or conversations;
  • Questions you want to follow up on;
  • Things you learned while working;
  • Connections you noticed between existing ideas;
  • Quick reactions to something you read.

The daily note is intentionally messy. Its purpose is capture, not presentation. You process it – or parts of it – during the weekly review.

Why the Daily Note Works

The daily note solves the "where do I put this?" problem. When in doubt, it goes in today's note. This removes the friction of deciding where something belongs before you have had time to think about it.

It also creates a record of your thinking over time. Scanning daily notes from six months ago often surfaces ideas or questions you had forgotten – sometimes exactly when you need them.

The Weekly Review

Once a week, you spend 20 to 30 minutes with your system. The weekly review has a consistent structure:

  • Clear the inbox: process anything that came in during the week and did not get processed on arrival;
  • Scan daily notes: read through the week's daily notes and pull out anything worth turning into a permanent note;
  • Check current projects: are they moving? Do any notes need to be linked or updated?
  • Look for connections: are there two notes that should be linked but are not?
  • Plan the next week: what are you working on? What might you need from your system?

The weekly review is the moment when captured fragments become connected knowledge. Without it, your inbox grows and your daily notes accumulate without contributing anything to your permanent system.

The Compound Effect

A PKM system's value grows non-linearly over time. After one month, it is slightly useful. After one year of consistent daily notes and weekly reviews, it is genuinely valuable – a record of your thinking, a network of connected ideas, a tool you rely on.

The daily note and weekly review are the engine of that compounding. They are not complicated. They take 5 minutes a day and 30 minutes a week. The challenge is not the time – it is the consistency.
