This challenge brings together everything from the course into a single deliverable: a practical AI strategy for your team or department. Not a theoretical framework – a concrete plan that identifies where to start, what to implement, and how to measure success.

This should take between 60 and 90 minutes. The output will be something you can actually use or present.

What You Will Produce

A one to two page document covering:

  • The two or three highest-priority AI opportunities in your current workflows;
  • The specific tools you will use for each;
  • A realistic implementation timeline;
  • How you will measure success;
  • The main risks and how you will manage them.

Step 1: Run a Rapid Workflow Audit

Using the framework from Section 2, spend 20 minutes listing your team's most time-consuming recurring tasks. For each one, score it on the four criteria covered in the course: frequency, structure, information intensity, and judgment requirement.

Identify your top two or three candidates – the tasks that score highest across all four criteria. These are your implementation priorities.

Step 2: Map Tools to Opportunities

For each priority opportunity, identify which tool from your stack handles it:

  • Claude – for analysis, summarization, drafting and document processing;
  • Zapier – for connecting tools and automating information flow between systems;
  • Otter.ai – for meeting capture, transcription and summary;
  • Gemini in Gmail – for email drafting, summarization and calendar coordination.

Write one sentence per opportunity describing the specific workflow: what triggers it, what the AI does, and what the output is.

Step 3: Use Claude to Draft the Strategy Document

Open Claude and paste the following prompt, filling in the bracketed sections with your actual findings from Steps 1 and 2:

Review the draft, adjust anything that does not match your actual context, and refine with one or two follow-up messages.

The strategy document Claude produces is a starting point. Your value-add is the judgment about which opportunities are realistic given your team's current capacity, your organization's appetite for change, and the relationships and political context that Claude has no visibility into. Use the document as a structure – fill it with your own judgment.

Step 4: Define Your 30-Day First Action

Every strategy needs a starting point that is specific enough to actually happen. From your strategy document, identify the single workflow you will implement in the next 30 days.

Write down:

  • The specific task being automated or augmented;
  • The tool you will use;
  • The person responsible for setting it up;
  • The date by which the first version will be running;
  • How you will know if it is working.

This is your commitment. Everything else in the strategy is a plan. This is an action.

The most common reason AI strategies fail is that they stay at the planning level. The 30-day first action is designed to prevent this. An imperfect workflow running in 30 days is worth more than a perfect strategy document that has not been implemented in six months.

What You Should Have at the End

By the time you finish this challenge you should have:

  • A prioritized list of AI opportunities in your current workflows;
  • A one-page strategy document you could present to your manager or team;
  • A specific 30-day action with a named owner and a deadline.

This is the foundation of your organization's AI implementation. Everything from here is iteration.
