Drafting Emails With Copilot
Drafting emails using prompts is one of the most practical and time-saving features in Microsoft 365.
To get started, Copilot requires a paid Microsoft 365 subscription linked to your Outlook account. It works in both the browser version and the desktop app, but for the best experience, ensure your Outlook app is fully updated and that you are using the New Outlook interface, not the classic version.
If Copilot is not visible, you can enable it manually by navigating to:
Settings → Copilot → Preferences → Turn on Copilot
Two Ways To Access Copilot In Outlook
1. Copilot Chat (Toolbar Icon)
Opens a separate chat interface where you can prompt Copilot to summarise emails, suggest responses, or draft new messages. This method offers unlimited prompts, but the output must be manually copied and pasted into your email.
2. Copilot Inside An Email (Magic Pen Icon)
Allows you to generate and edit content directly within your email draft, making it more seamless and efficient. Usage may be limited depending on your subscription type.
When To Use Each Method
- Use Copilot Chat for brainstorming, exploring ideas, or working across multiple emails;
- Use in-email Copilot when you want fast, integrated drafting without switching context.
Key Takeaway
Copilot generates a strong starting point, but you remain responsible for tone, formatting, and personalisation. Small edits — adjusting paragraphs or adding a personal sign-off — make your emails feel more authentic and appropriate.
1. What must you do after generating an email using Copilot in the chat interface if you want to send it?
2. Why might you choose to use Copilot inside the email (magic pen icon) instead of the Copilot chat?
3. What is a key requirement for Copilot to work inside Outlook?
